GUIDELINES

Dear Student Support Applicant:

Please read the following guidelines carefully before submitting your application to participate in the Charlotte Mangum Student Support Program for the upcoming Annual Meeting. In order to be eligible for Student Support you must fulfill all of the following:
  • Be an undergraduate student member or graduate student member of SICB for 2017 (2017 membership year is 04/01/2017 to 03/31/2018)
  • Be the presenting author (i.e., have submitted an abstract for the 2018 Annual Meeting). Only one person per abstract (the presenting author) may apply.
  • Complete the application form in its entirety before the deadline (October 25, 2017); failure to do so will make you ineligible for the Student Support Program
  • Fill in name and email of your SICB member sponsor and
  • Provide one half-day of assistance to SICB during the Annual Meeting (see below).
The Charlotte Mangum Student Support Program awards financial support in the form of housing or registration fees. Students who are granted support will be notified by e-mail. Students are allowed to be supported by this program a maximum of three times, beginning in 2009. If you received support prior to 2009, that year or years will not count in the 3 time maximum.

Those applicants granted housing support will receive complimentary housing based on quad occupancy for up to five (5) nights during the Annual Meeting (note that the bedding arrangement will be 2 queen beds for four people per room). All rooms will be single-sex unless four co-ed students all request each other. A $75 non-refundable co-pay to the hotel will be required. This amount must be paid directly to the hotel upon check-in. Early arrivals and/or late departures are at the individual's own expense at the SICB Annual Meeting room rates. IF YOU ARE GRANTED HOUSING ASSISTANCE, SICB WILL MAKE YOUR HOTEL RESERVATIONS FOR YOU. DO NOT MAKE YOUR OWN HOUSING RESERVATIONS. ALL STUDENTS APPLYING FOR HOUSING SUPPORT MUST REGISTER FOR THE MEETING. ANY DAMAGE TO THE ROOM WILL BE THE RESPONSIBILITY OF THE STUDENT.

If you know of another student who has applied for housing support whom you would prefer as a roommate, please provide SICB with their name in the appropriate space on the application. Otherwise, SICB will be responsible for assigning roommates.

If you are granted support of any type through the Charlotte Mangum Student Support Program you are obligated to provide assistance during the meeting; failure to fulfill your obligation will cause immediate cancellation of your support.

All student support recipients are required to attend an orientation/training meeting Wednesday January 3rd in the afternoon. (Plan to arrive in San Francisco, CA, by 3 pm.)
FAILURE TO ATTEND THIS MEETING WILL MAKE YOU INELIGIBLE FOR THE STUDENT SUPPORT PROGRAM AND YOU WILL BE REQUIRED TO PAY FOR YOUR OWN HOUSING OR REGISTRATION FEES (DEPENDING ON WHICH YOU WERE SCHEDULED TO RECEIVE).

Assistance to SICB during the annual meeting

  1. General assistance. This is the largest category of assistance. Student assistance includes, but is not limited to, assisting with A/V in the meeting rooms, assisting at the registration desk, and other various activities that will be assigned.
    I would like to provide general assistance for the meeting.

  1. Science Journalism Internship. This is a specialized category of assistance. Please read the associated information carefully. The Science Journalism Internship provides students interested in science writing with a real-world science-writing experience at the SICB annual meeting. Each student will identify a talk or poster of their choice, conduct interviews, and write an original popular science piece that will be posted and highlighted on the SICB web site.

Please note that the Science Journalism Internship is a part of the Charlotte Mangum Student Support Program. All else is the same (including support), but instead of a typical work assignment in the general assistance category, the assignment is to be a journalist. This involves more work than the typical assignment, but it also offers a unique opportunity. To become a Science Journalism Intern (SJI) at the upcoming annual conference, you must successfully apply to the Charlotte Mangum Student Support Program, indicate your interest by checking the box below, and submit an SJI application. The application and details on the SJI (opens in separate window) can be found here. About four to six students will be chosen to perform this assignment. Note: If you are not selected for this task, you will automatically be assigned a task within the general assistance jobs.
I would like to work as student journalist for the meeting and I am sending an application.

 

  1. Student Photographer. There is a need for student photographers to capture images of the different activities at the annual meeting, including and especially the plenary speakers. Students must provide their own cameras; cell phone cameras are excluded. Student photographers are a part of the Charlotte Mangum Student Support Program. Approximately 20 students will be chosen to perform this assignment. Note: If you are not selected for this task, you will automatically be assigned a task within the general assistance jobs. You will be notified in advance of the conference so you'll know whether to bring your camera to the conference.
    I would like to work as student photographer for the meeting. I will bring my own camera.



The Charlotte Mangum Student Support Program will award support in the form of waived registration fees OR complimentary housing (triple or quad occupancy), for the nights of January 3, 4, 5, 6 and 7, 2018. Indicate your choice of support below:

Registration Support: If you are granted registration support, you will need to register and pay for your registration. You will be reimbursed after the meeting once it has been verified your work assignment has been completed.

Housing Support: If you are granted housing assistance, SICB will make your hotel reservations for you. Note that for 2018, a $75 non-refundable co-pay to the hotel will be required. This amount must be paid directly to the hotel upon check-in. Do not make your own housing reservations.

SPECIAL REQUESTS FOR ROOMMATES WHO ARE ALSO IN THE STUDENT SUPPORT PROGRAM WILL BE ACCOMMODATED IF AT ALL POSSIBLE, HOWEVER WE CANNOT ACCOMMODATE REQUESTS TO ROOM WITH PEOPLE NOT RECEIVING STUDENT SUPPORT.
